Zapier Consultant for Field Service Companies
A Zapier consultant designs, builds and fixes the automations that pass information between your apps, so a job, a client or an invoice gets typed once. We do that for field service companies in Canada and the US, quoted as a fixed fee and handed over documented so your office runs it without us.
What a Zapier Consultant Does
Zapier connects apps that weren't built to talk to each other. Something happens in one app (a job is completed, a form is filled in, a quote is approved) and Zapier does something in another: it texts the client, creates the job, or adds a row to the sheet your bookkeeper works from. Each of those automations is called a Zap.
Building one Zap takes an afternoon. The consulting is everything around it: which step in your week is worth automating first, what happens when the client already exists in the second system, and who gets told when a Zap fails at 6 pm on a Friday. A Zapier consultant maps the workflow, builds the Zaps, tests them against real jobs and writes down how each one works.
The other half of the job is repair. If your account already has Zaps in it, built by whoever had a free afternoon two years ago, the first task is finding out which ones still run, which fail quietly and which nobody needs anymore.
What We Build With Zapier for Field Service Companies
Zapier lists integrations for ServiceM8, Jobber and Housecall Pro, along with QuickBooks Online, Xero, Google Sheets and most phone and form tools. These are the usual first builds.
A completed job starts the next step.
ServiceM8 and Housecall Pro both give Zapier a trigger when a job is completed, so the review request, the follow-up text or the maintenance reminder goes out without anyone remembering to send it.
A new enquiry becomes a job.
A website form, a booking tool or an ad lead lands in ServiceM8 or Jobber as a client and a job, with the details already filled in.
An approved quote tells the office.
Jobber gives Zapier a trigger when a quote is approved. That can message the crew lead, start the materials order or add the job to the board your scheduler works from.
A form completed on site reaches the office.
ServiceM8 fires a trigger when a form is completed, so the office, the client or the property manager hears about it the same hour.
The numbers land in one sheet.
Completed jobs, invoices and new clients get written to a Google Sheet or a dashboard as they happen, so the weekly report doesn't start with an export.
One thing to check first if you're on ServiceM8: Zapier and API access start on the Starter plan. What each ServiceM8 plan costs and includes has the full list.
When Zapier Fits and When It Doesn't
Zapier fits when the workflow runs in a straight line: one thing happens, then two or three things follow, in apps Zapier already supports. It's the fastest tool to build in and the easiest for an office manager to read later, which matters once the person who built it has moved on.
It fits less well in three cases. The first is volume. Zapier bills by the task, and every action step that runs is a task, so a five-step Zap on 400 jobs a month is 2,000 tasks. The second is branching. A workflow with a dozen conditions and loops is easier to build and to follow in Make, which is the other tool we build in. The third is when your job software can already do it. ServiceM8 can fire a follow-up from a job status change inside the app, and an automation that lives in one system has one less thing to break.
And sometimes the answer is a fourth option. If two systems need to stay in step on every record, in both directions, that usually calls for a direct integration through each system's API. We'll tell you which of the four you're looking at before you pay for a build. When your systems don't talk to each other covers what that double entry costs in a week.
What Zapier Costs to Run
Zapier's own pricing page, read in October 2026: the Free plan covers 100 tasks a month and two-step Zaps. Professional starts at US$19.99 a month and adds multi-step Zaps, webhooks and premium apps. Team starts at US$69 a month with 25 seats. From there the price climbs with the task tier you pick, starting at 750 tasks a month.
Zapier counts a task as any action step that runs successfully. A step that fails doesn't count. So the monthly bill is mostly a design question: a Zap that runs six actions where two would do puts you on a task tier three times the size. Counting the tasks before the build is part of the job.
How Much Does a Zapier Consultant Cost?
Few Zapier consultants publish a price. One partner in Zapier's own directory lists a 75-minute build session at US$297 and hourly packages from US$1,950, read in October 2026. Across automation consulting in North America, hourly rates run about $150 to $500, and a single workflow built end to end, documented and with your office trained on it, runs about $5,000 to $15,000.
We quote Zapier work as a fixed fee after a discovery call. You see the number before anything is built, and if the workflow turns out bigger than it looked, you hear about it before the work happens. For the wider market, what a business automation consultant does and costs breaks the ranges down by the size of the build.
How the Work Runs
1. Discovery call
Thirty minutes, no charge. You describe how a job runs from the first call to the paid invoice, and we tell you whether there's anything here worth paying us for.
2. Map and quote
We follow one job through your systems and mark every point where someone retypes something. You get the list of Zaps worth building, in order, with a fixed fee beside each.
3. Build and test
Everything is built in your Zapier account, under your login, and tested against real jobs before it's switched on. Most first builds are live within two to four weeks.
4. Handover
A written page per Zap: what triggers it, what it does, what to check when it fails and who gets the failure email. Then a training session with whoever will own it. If you never call us again, everything keeps running.
Common Questions
What does a Zapier consultant do?
A Zapier consultant maps the workflow you want automated, builds the Zaps, tests them against real records and documents them so your team can run them. A good one also tells you when Zapier is the wrong tool for the job.
What is Zapier used for?
Passing information between apps that don't connect on their own. In a field service company that's usually the job software, the accounting system, the phones and a form or booking tool. A completed job sends a review request, a web enquiry becomes a client and a job, an approved quote messages the crew lead.
How much does Zapier Professional cost?
Zapier's pricing page lists Professional from US$19.99 a month as of October 2026, and the price rises with the task tier you choose. The Free plan covers 100 tasks a month and two-step Zaps. Team starts at US$69 a month.

Does Zapier work with ServiceM8, Jobber and Housecall Pro?
Yes, Zapier lists an integration for all three. ServiceM8's has triggers for a new job, a completed job, a job assigned to a queue, a new client and a completed form. Jobber's covers clients, requests, quotes, jobs and invoices. Housecall Pro's has triggers for a job scheduled and a job completed. ServiceM8 opens Zapier access on its Starter plan and up.
Zapier or Make: which one should we use?
Zapier for straight-line workflows your office needs to read and maintain. Make for workflows with a lot of branching, loops or data reshaping. We build in both and choose per workflow.
Can you fix Zaps someone else built?
Yes, and that's often where we start. An audit of an existing account shows which Zaps run, which fail, which duplicate each other and which can be turned off.
